As you may have
noticed, we recently changed some links on the Member Tools and Quartermaster/Treasurer
Tools sections of the VFW Home Page.
These links now point
over to this site, VFW eMembership.
Below is a description
of what VFW eMembership is, and what it can do for Quartermasters.
What is VFW eMembership?
VFW eMembership is an
online electronic capture and electronic processing system. This means, for
example, that you can Decease a member on eMembership, and it takes effect
immediately in the VFW database. The process of submitting an address change,
or a request for a duplicate card, and waiting for it to be hand-keyed into the
VFW database has been eliminated.
The tools that are available to Quartermasters
and Men's Auxiliary Treasurers on VFW eMembership are:
- Renew Multiple
Members in your Post/Dept, all with a single payment
- Rapidly change
addresses for members, validated against USPS for conformance and
deliverability
- Decease a member
- Request a
duplicate card (Annual or Life) for a member
Why am I here?
If
you tried to change an address or
decease a member, or perform some other operation on the VFW Home
Page, you may have been redirected to VFW eMembership. This is because
some tools for members and Quartermasters/ Men's Auxiliary Treasurers are now
on the VFW eMembership website. Eventually all member and
Quartermaster / Men's Auxiliary Treasurer tools will be moved from the VFW Home
Page to VFW eMembership, and we are changing links as new tools
become available.
How do I create an
eMembership Quartermaster account?
To register for an
eMembership Quartermaster account, do the following:
1) Go to the VFW
eMembership home page
2) Click the Register
link
3) On the registration
page, provide your First Name, Last Name, Email address, a password of your
choice, and your Card Number.
4) To confirm your
identity as a member, provide your Home Zip Code and your Birth Year.
5) In order to validate
your email address (and activate your eMembership account), eMembership will
e-mail a PIN number to your email address. Use this PIN number to activate your
eMembership account.
6) Once your account is
activated, eMembership will identify your account as a Quartermaster account,
and will ask you to request a *second* PIN, to be mailed to the current Quartermaster's mailing
address (not email). This will ensure that the Quartermaster is the person
requesting this special Quartermaster account.
7) When you receive your
printed letter containing the QM PIN (2 or 3 business days in the mail), go
back to the eMembership website, sign in, and you will be prompted to enter the
PIN you requested.
8) Enter the PIN, and
your account will be upgraded to a Quartermaster account.
9) You will now have
access to Quartermaster tools.
10) When you sign out and
back in again, you do not need to complete all of the above steps anymore, just
sign in with your email address and password.
Why do I need PIN numbers?
When
creating a VFW eMembership Quartermaster account, two PIN numbers
are required.
The
first PIN number is generated right after you create the account,
and it is sent to the email address you provided during account
creation. You use this PIN number to activate your eMembership
account, to gain access to Member Tools only.
After
entering the first PIN number, eMembership will (if you are a
Quartermaster) indicate that this account belongs to a
Quartermaster, and that it requires a second PIN
number. Click "Request a PIN be mailed to me". This PIN will be sent
via U.S. mail to your Post/Department address, so that we can
confirm your identity as the Quartermaster. When you receive this
PIN in the mail, come back to eMembership and sign in.
When you
sign in, you will be asked to either Request a PIN, Enter a PIN that
was mailed to you, or Skip this process for now. Click "Enter a PIN
that was mailed to me". When prompted, enter the PIN that is on the
letter you received, and click Submit. Your account is now a
Quartermaster account, and you have access to VFW eMembership
Quartermaster tools.
Please
note that you do not need to keep these two PIN numbers; they are
only used for account activation. All future logins on eMembership
will only require the email address and password you provided when
creating the account.
How do I renew
members?
To renew multiple
members:
1) Click on Renew Members
1a) If you are a
Department Quartermaster, you will need to select the Post in which you wish to
renew members, or you can select your DAL members to renew.
2) Select the "unpaid"
years you wish to renew members. For example, to see all unpaid 2006 and 2007
members, click the 2006 and 2007 checkboxes.
3)
Click Get Unpaid Members.
4) You will be given a
list of unpaid members matching your criteria, and you will be able to select
(by clicking the check box) each member you wish to renew.
5) For
those members who are not paid current, and who will become a
reinstate upon renewal, you may provide the Card Number of the
recruiter, if you have it. Enter the recruiter's Card Number in the
text box to the right of the member you are
reinstating.
6) Once you have selected
all the members you wish to renew, scroll to the bottom and click Renew.
7)
You will be asked to confirm the members you just selected. If
you provided recruiter Card Numbers, you will see the recruiter's
Name on this confirmation page. Continue.
8) On the Billing
Information page, you must provide a Billing address that will match the
information on file for your credit card. Add a new Billing address on this
page, and when done, select it and Continue.
9) On the Payment
information page, you will be able to confirm your Billing information, confirm
the renewal of the members you selected, and provide your credit card payment
information.
10) After you have
provided your payment information, click Continue to process the renewals.
11) You will receive a
renewal confirmation (as well as a confirmation email) and a Request ID.
12) You can then click on
Manage Account > Transaction History, and view the status of your renewals.
NOTE: the amount that
eMembership will collect per member is only the National and Department per
capita (for Posts) and the National per capita (for Departments). If your Post
dues are $25.00, and your portion is $8.50, eMembership will only collect
$16.50 per member.
How do I change
addresses?
To change member
addresses:
1) Click on Change Member
Addresses
1a) If you are a
Department Quartermaster, you will need to select the Post in which you wish
to change addresses, or you can select your DAL members to change
addresses.
2) You will be given a list of all members in
your Post/Department, sorted alphabetically by Last Name.
3) Click the corresponding
letters for the Last Name of the member you wish to
find.
4) To change a member's address, click the Edit
link to the right of their address.
5) The address fields for that member will expand
so you can edit them.
6) After you have changed the address, click
Update.
7) eMembership will correct this address via the
USPS and present the corrected address.
8) If you are happy with the corrected address,
click Continue to Save the address change. The row will be highlighted in
yellow to indicate it was just changed.
9) If you are not happy with the corrected
address, change it again and click Update.
10) Do this for as many members as necessary.
How
do I Decease a member?
To decease a member:
1)
Click "Decease a Member"
2) Enter the Card Number
for a Member, and click Look Up.
3)
The member's information will be displayed, along
with a link to Report the member as Deceased.
4) Click
"Report this Member as Deceased"
5) You
will be given a confirmation of the transaction.
How do I request a
duplicate membership card for a member?
To request a duplicate
membership card for a member:
1)
Click "Request a Duplicate card for a
Member"
2) Enter
the Card Number for a Member, and click Look Up.
3) The
member's information will be displayed, along with a link to request
a duplicate membership card for this member.
4) Click
"Request a duplicate membership card for this
member"
5) You
will be given a confirmation of the transaction.
How do I track the status of my eMembership Quartermaster
transactions?
To see
all of your transactions:
1) Click
on "Manage Account"
2) Click
on "My Account History"
3) You
will be presented with a list of all transactions you have performed
on eMembership.
4) For
each item, you may click on "Details" to view additional information
about that transaction.
What else do I need
to know?
This is the current
toolset available to Quartermasters via eMembership, and we are in the process
of developing many more features for Quartermasters, such as improved
reporting, MemStats and Post Query using newest technology, New Member
submittal, Post transfers, etc.
As new features become
available, this pagw will be updated.
